How Small Care Providers Can Keep CQC Evidence Current
Updated: Oct 11
Small care providers often know their service closely but struggle to keep evidence current while managing staffing, care delivery and urgent problems. From my own years working across care and compliance, I learned that the answer is not one enormous inspection project. It is a small, repeatable routine.
What experience taught me
I have worked with policy libraries, training records, recruitment files, care documentation, risk assessments and action trackers. The hardest gaps were rarely caused by a complete absence of effort. They appeared when information sat in different systems, nobody owned the follow-up or “complete” was recorded without checking the underlying evidence.
That experience shaped Looking Glass Care: practical systems should work for the individual provider rather than forcing every organisation into the same generic template.
A manageable evidence rhythm
Weekly: review new starters, overdue training, incidents, safeguarding, medication errors, missed visits, complaints and high-risk actions.
Monthly: sample care records and staff files, check policy review dates, analyse themes and confirm that completed actions were effective.
Quarterly: review quality statements, people's feedback, workforce trends, business continuity and the full service improvement plan.
CQC's assessment framework should remain the primary reference for services in England.
Keep one control record
Use a master index with the evidence area, document location, owner, last check, finding, action and next review date. Link to the original record rather than creating uncontrolled copies. Use simple red-amber-green status only when the reason and evidence are recorded.
